How much does clinical photo management software cost?
Expect roughly $10 to $250 per month for software, and five figures upfront for 3D imaging hardware. CureCast is $150 a month billed annually for a single location. The harder problem is that most vendors in this category will not tell you their price at all, so comparing options means booking demos before you know whether you can afford them.
What you will actually pay, by tier
| Type of tool | Typical monthly cost | How it is usually priced |
|---|---|---|
| Consumer photo apps with a free tier | $0 to $15 | Per user, capped by patient or photo count. No BAA, no audit trail. |
| Entry-level clinical photo apps | $30 to $60 | Per user or flat, with a limited feature set. |
| Full clinical photo platforms | $150 to $250 | Flat per clinic, or per user. CureCast sits here. |
| Practice management suites with a photo module | $200 to $500 and up | Almost always per user, usually with a setup fee and an annual contract. |
| 3D imaging systems | Five figures upfront | Capital purchase plus an annual service contract. Not a subscription. |

Why most vendors will not show you a price
Quote-only pricing is the norm in this category. It lets a vendor set the number after they have learned your practice size and how badly you need the product, and it means you cannot shortlist without sitting through a sales call. Here is who publishes and who does not, on their own website.
| Vendor | Price on their own site | Pricing model |
|---|---|---|
| CureCast | Published in full, above | Flat per clinic, monthly or annual, no contract |
| RxPhoto | Not published | Reported as a flat monthly fee by third-party directories |
| TouchMD | Not published | Quote only |
| PatientNow | Not published | Quote only |
| Canfield | Not published anywhere | Capital equipment purchase |
| Aesthetic Record | Published | Tiered subscription |
| AestheticsPro | Published | Tiered subscription |

What is not in the headline price
The monthly figure is rarely the whole cost. These are the line items that appear later in this category, and what each one costs with CureCast.
| Cost | Common in this category | With CureCast |
|---|---|---|
| Setup or implementation fee | Commonly charged, particularly by practice management suites | None |
| Staff training | Often billed hourly or as a package | 3 hours included on Practice |
| Migrating photos from phones or another system | Usually quoted separately | Included, with migration planning support |
| Storage overage | Charged per GB once a cap is passed | Unlimited photo, video and document storage |
| Additional users or devices | Per-seat pricing is the norm | 3 devices on Starter, 5 on Practice, more on Enterprise |
| Additional locations | Per-location fee | Quoted on Enterprise |
| Exporting your data if you leave | Sometimes charged, occasionally refused | Free, one click, at any time |
| Minimum contract | 12 to 36 months is normal | Monthly, cancel any time |
Is there a free before-and-after photo app for clinics?
Yes, several tools offer a free tier, and for a solo practitioner with a handful of cases they can be a reasonable starting point. The limits usually appear in one of three places: a cap on patients or stored photos, the absence of a signed Business Associate Agreement or data processing agreement, and no audit trail showing who viewed or downloaded an image.
That last one matters more than it sounds. If a patient asks who has seen their photographs, or a regulator asks you to scope a breach, an audit trail is the only thing that answers the question. Free tools generally do not have one. CureCast offers a 14-day free trial with a signed BAA provided during the trial, rather than a permanently free tier, because a clinical record system without accountability is not something we want to put into a practice.
A practical way to compare. Ask every vendor on your shortlist four questions in writing: what is the monthly price for my number of locations and users, what does implementation and migration cost, what happens to my data if I cancel, and what is the minimum term. The answers to those four, not the headline figure, are what determine the real cost over three years.
Why clinic choose CureCast
Is $150 a month worth it?
Work it out per consultation rather than per month. A practice running 60 consultations a month is paying $2.50 per consultation for CureCast. At 150 consultations it is one dollar. For most aesthetic practices a single additional accepted case covers the annual subscription several times over, so the question is only whether this changes the outcome of more than one consultation a year.
There is a moment every plastic surgeon, dermatologist and med spa owner knows. A patient sits down for their follow-up, looks at you and says: I don't think it worked. You know it did. The results are there. But the before photo is somewhere on your phone, buried under three thousand images, impossible to find while they are sitting in front of you. So you scroll. And scroll. The patient watches. The moment slips.
CureCast was built for that exact second. Three seconds to find any patient photo, by treatment, by name or by date. The before photo appears, you slide it over the after, and the patient sees what they had forgotten they looked like. The conflict resolves, the trust deepens, and the next treatment gets booked.
That is the return nobody prices until they need it, and it is the one a camera roll cannot deliver. Surgeons across four continents have used CureCast for this for more than a decade, not to store photographs but to use them at the moment that decides the consultation.
